Kickserv jobs on your techs’ Google Calendars — without duplicates

The schedule lives in Kickserv. Your crew lives in their phone calendar. Make them agree.

Kickserv
Google Calendar

Why this pairing matters

Techs and managers check Google Calendar on their phones, not Kickserv. When the two disagree, someone shows up at the wrong house or not at all. The obvious fix — turning on every sync option — usually creates the opposite problem: duplicate events, events that won’t delete, and calendars nobody trusts. This pairing is less about connecting and more about connecting in one clean direction.

What syncs, and which direction

DataDirectionWhen
New job / appointmentKickserv → Google CalendarWhen scheduled; lands on the assigned tech’s calendar
Time or date changeKickserv → Google CalendarOn reschedule; the same event moves, no new copy
Technician reassignmentKickserv → Google CalendarEvent removed from old tech, created for new tech
CancellationKickserv → Google CalendarEvent deleted, not left as a ghost
Job address, customer, notesKickserv → Google CalendarIn the event body, with a map link
Edits made in Google CalendarNot synced backBy design, to prevent loops; Kickserv stays the source of truth

What breaks without it

  • Double events after every reschedule
  • Techs go to cancelled jobs that still show on their phone
  • Office manually copies the day’s jobs into shared calendars
  • Two-way sync loops that multiply events overnight
  • Managers stop trusting the calendar and call techs instead

What it saves

  • No more morning “where am I going today?” calls
  • Reschedules reflected on the tech’s phone in minutes
  • Cancelled jobs actually disappear
  • One source of truth for the schedule
  • Less time spent cleaning up calendars

How we build it

  1. Audit the current calendars

We look at existing sync settings, shared calendars and duplicate events, and document what’s causing them before changing anything.

  2. Choose one direction

Kickserv becomes the only source of truth. Two-way sync is turned off, and techs get their own calendar for Kickserv jobs, separate from personal events.

  3. Connect and clean up

We set up the sync per technician, remove the old duplicates in bulk, and map job details into the event.

  4. Test the edge cases

Reschedule, reassign, cancel and multi-day jobs are tested on a live account before the crew relies on it.

Questions owners ask

Why do we get duplicate calendar events?

Usually because the sync is running in both directions, or two separate sync methods are running at once. Each sees the other’s event as new and copies it.

Can techs edit the job from Google Calendar?

We recommend against it. Changes should happen in Kickserv so billing, dispatch and customer notifications stay right. Calendar is for viewing.

Will this touch my techs’ personal calendar events?

No. Kickserv jobs go to a dedicated calendar that sits alongside their personal one and can be turned on or off.

Can the office see everyone’s schedule in one view?

Yes. Each tech’s Kickserv calendar can be shared to managers, giving a combined view in Google Calendar.

What if we’re moving off Kickserv soon?

Tell us in the audit. If a migration is under a few months away, we may recommend a lighter setup so you don’t pay twice.
