Housecall Pro and QuickBooks, reconciled

The connector is built in. Getting it to produce clean books is the hard part.

Housecall Pro
QuickBooks

Why this pairing matters

Housecall Pro has a native QuickBooks connection, so most contractors assume this problem is solved. Then the bookkeeper finds duplicate customers, every job booked to one generic income account, card fees missing, and deposits that don’t match the bank. The sync isn’t broken. It was switched on without anyone deciding how it should map to the books.

What syncs, and which direction

DataDirectionWhen
CustomersHousecall Pro → QuickBooksWhen the first invoice syncs, matched to existing QuickBooks customers
Invoices and line itemsHousecall Pro → QuickBooksOn invoice creation or update, mapped to the right products and services
PaymentsHousecall Pro → QuickBooksOn payment, applied to the matching invoice
Processing feesHousecall Pro → QuickBooksRecorded as an expense so deposits match the bank
Sales taxHousecall Pro → QuickBooksMapped to your tax agencies and rates
Service type / classHousecall Pro → QuickBooksSo install, service and maintenance revenue report separately

What breaks without it

  • Duplicate customers every time a name is spelled differently
  • All revenue lumped into one income account
  • Deposits never match the bank because fees are missing
  • Tax reports that don’t tie out
  • Bookkeeper spends hours every month fixing the sync’s output

What it saves

  • Books that reconcile without manual fixing
  • Revenue split by install, service and maintenance
  • Card fees tracked so margins are real
  • Lower bookkeeping bill
  • Cleaner numbers for your owner’s dashboard

How we build it

  1. Review what’s already synced

We audit what the current connection has pushed into QuickBooks and list every duplicate, mis-mapped item and unmatched deposit.

  2. Rebuild the mapping

We map every Housecall Pro price-book item to the right QuickBooks product, income account and class, and set tax and fee handling.

  3. Clean up history

With your bookkeeper, we merge duplicate customers and fix the recent period so you start from clean books.

  4. Reconnect and verify

We switch the corrected sync on, run two weeks of live jobs, and reconcile deposits against the bank.

Included in the Pro plan (one integration per quarter), or as a standalone build. Standalone build: $4,000, one fixed price confirmed after your free audit, plus monitoring and fixes from $750/mo. Compare plans.

Questions owners ask

If there’s a built-in connector, why pay for this?

Because the connector only moves data. Where it lands in your books is up to how it’s set up, and the defaults are rarely right for a contractor.

Will you work with my bookkeeper or accountant?

Yes, and we insist on it. They approve the mapping. We make it happen in the software.

Can you fix past months that are already a mess?

We clean up the recent period to start fresh. Full historical cleanup is a bookkeeping job; we can coordinate it with your bookkeeper.

How do we handle financing and deposits taken up front?

We map deposits and financed jobs to the right accounts so the invoice, deposit and final payment all tie together.

Does this replace my bookkeeper?

No. It gives them clean data so they spend their time on the books, not on fixing the sync.
