For HVAC, plumbing & electrical contractors

The Connected Contractor Stack

First call to paid invoice, with no retyping. The same system we built inside a working HVAC contractor, set up on the tools you already run.

Where contractors lose money

It’s rarely the work. It’s everything around it. The call at 5:30 that nobody picks up. The lead that sits in the CRM because the office was on another line. The job typed into the field app, then the invoice typed into accounting, then the review request that never goes out. Multiply that by every job, all season.

  • Calls to voicemail after hours and at lunch
  • Lead typed into the CRM, then again into field software
  • Tech calendars updated by hand, then double-booked
  • Invoices retyped into accounting at the end of the week
  • Review requests sent when someone remembers
  • No idea which ad or listing produced which job

First call to paid invoice

Six steps. People touch the ones that need a person. Software handles the rest.

STEP 01

Call comes in

AI receptionist answers 24/7, qualifies the problem, and books against real availability.

STEP 02

Contact created once

The customer lands in your CRM and field software at the same time, matched to any existing record.

STEP 03

Job scheduled

The tech’s calendar updates. Confirmation and reminder texts go out on their own.

STEP 04

Job completed

Invoice syncs to accounting. Payment reminders run until it’s paid, then stop.

STEP 05

Review requested

Same afternoon, automatically, with a link straight to your Google profile.

STEP 06

Owner sees it

Lead source, ticket and cash collected land on your dashboard and your Monday text.

Case study

A two-brand HVAC contractor in Upstate New York and Vermont

Before

Two brands, one office. Leads came in through phone, web forms and the Google profile, and were typed into the CRM and again into the field-service app. After-hours calls went to voicemail. Review requests depended on whoever remembered. Nobody could say which marketing produced which installs.

What we built

  • Two-way CRM ↔ field-service sync with a shared customer ID
  • AI booking with scheduling priorities for who gets booked first
  • Central, tag-triggered review request automation
  • A single inbound phone line routed by rules, with AI covering after hours
[STAT]hours of office retyping removed per week
[STAT]after-hours calls answered and booked per month
[STAT]increase in Google reviews in 90 days
[STAT]median response time to a new web lead

Client name withheld at their request. Figures from the client’s own systems.

Questions owners ask

We already use field-service software. Isn’t that enough?

It runs your jobs. It doesn’t answer your phone at night, follow up on estimates, or talk to your CRM and accounting without help. The stack is what connects it to everything else.

Which field-service software do you work with?

We have built on Housecall Pro and Kickserv, and connect to others that have APIs, including ServiceTitan and Jobber. The audit confirms what’s possible with yours.

How long does the full stack take?

Most contractors go live in stages over six to ten weeks: connection first, then automation, then AI booking, then the dashboard. Each stage pays for itself before the next one starts.

Will my techs have to learn anything new?

Almost nothing. They keep using the field app they already use. The difference is that the information in it arrives on its own and flows out on its own.

What does it cost?

The full stack is a monthly plan: Starter $497, Growth $897 or Pro $1,497 a month, plus a one-time setup fee. Month-to-month with a 30-day guarantee. Booking into Housecall Pro is on Growth and Pro.

Do I need a certain Housecall Pro plan?

Yes, for Growth and Pro. The live sync uses Housecall Pro webhooks, which are only on the MAX plan. Starter works with any field software or none.

Do you work with shops anywhere in the country?

Yes. We work with contractors nationwide. Nearly all of the work is remote, and on-site days can be arranged when they help.

See what your shop is leaking.

The Operations Stack Audit maps every tool you pay for, every place someone retypes data, and what each gap costs per year — then hands you a detailed strategy to fix it. Free. Five business days.
