Connect GoHighLevel and QuickBooks
Your leads and your money, in the same conversation.
Why this pairing matters
Marketing lives in GoHighLevel. Money lives in QuickBooks. Nobody can answer “how much revenue did that campaign produce?” because the two have never met. Meanwhile, the bookkeeper creates customers by hand, payment reminders keep going out after checks clear, and the CRM has no idea who your best customers are.
What syncs, and which direction
| Data | Direction | When |
|---|---|---|
| Customer record | GoHighLevel → QuickBooks | When a deal is marked won |
| Invoice or estimate | GoHighLevel → QuickBooks | When sent from GoHighLevel, if you invoice there |
| Payment received | QuickBooks → GoHighLevel | On payment; ends the reminder workflow and updates the opportunity |
| Lifetime revenue | QuickBooks → GoHighLevel | Daily, into a contact field for segmenting |
| Lead source | GoHighLevel → QuickBooks | As a customer field or class, for revenue-by-source reports |
| Overdue status | QuickBooks → GoHighLevel | Daily; starts the polite collections sequence |
What breaks without it
- Bookkeeper retypes every new customer
- Reminder texts go out after a customer already paid
- No revenue number attached to any marketing channel
- Can’t target past customers by how much they’ve spent
- Month-end reconciliation takes days instead of hours
What it saves
- Customer creation in QuickBooks handled automatically
- Collections messages that stop the moment payment lands
- Revenue by lead source for every campaign
- Past-customer lists segmented by lifetime value
- Faster, cleaner month-end close
How we build it
Talk to your bookkeeper
We confirm how QuickBooks is set up now — items, classes, tax, deposit accounts — so the sync fits their books instead of fighting them.
Map customers and money fields
We decide which system creates customers, how invoices are numbered, and which accounts and classes payments land in.
Connect with the official APIs
We use the QuickBooks Online API and GoHighLevel webhooks, with a matched customer ID stored on both sides.
Reconcile a test month
We run a month of real transactions and reconcile against your bank before switching it on for good.
Included in the Pro plan (one integration per quarter), or as a standalone build. Standalone build: $5,500, one fixed price confirmed after your free audit, plus monitoring and fixes from $750/mo. Compare plans.

Questions owners ask
Does this work with QuickBooks Desktop?
Our standard build is for QuickBooks Online. Desktop needs a connector running on a computer in your office; the audit will tell you whether it’s worth it or time to move to Online.
Will this mess up my bookkeeper’s work?
Not if we do step one properly. Your bookkeeper signs off on the mapping before anything syncs, and we reconcile a test month together.
Should I invoice from GoHighLevel or QuickBooks?
Usually whichever your field process already uses. Contractors on field software often invoice there instead, and we connect that to QuickBooks directly.
Can I see revenue by marketing source?
Yes. That’s one of the main reasons to connect these two. Lead source travels with the customer into QuickBooks.
What about sales tax?
Tax is calculated in QuickBooks using your existing settings. We don’t recalculate it in the CRM.
